Destination Specialist (Groups) – Namibia

An exciting opportunity is available for an experienced Destination Specialist (Groups) to join a dynamic and growing team in the tourism industry. This role is ideal for someone who is passionate about travel, enjoys designing memorable itineraries, and has experience working with group bookings and international travel agents.

Duties & Responsibilities

Key Responsibilities

Sales

  • Secure new business and cost tour products effectively.

  • Understand market trends and manage margins accordingly.

  • Build and maintain strong relationships with agents and suppliers.

  • Source and develop new tourism products.

  • Develop and implement sales strategies to grow business with existing and new agents.

  • Collaborate closely with the team to achieve sales targets.

Operations

  • Design and quote creative and profitable itineraries for group tours, tour series and FIT requests.

  • Capture and confirm bookings in Tourplan.

  • Negotiate rates, cancellation policies and FOC allocations with suppliers.

  • Source new suppliers that provide quality service and competitive rates.

  • Follow up on quotations and convert them into confirmed bookings.

  • Successfully manage group, tour series and FIT bookings.

  • Compile itineraries and welcome packs.

  • Prepare guide documentation and brief guides before travel.

  • Work closely with tour guides during tours.

  • Assist with the 24-hour emergency phone when required.

Financial

  • Assist with invoicing processes and provide instructions to debtors where required.

  • Reconcile supplier invoices for processing.

  • Support with invoicing and collection queries.

  • Reconcile tour guide expense sheets and salary invoices after tours.

Additional Responsibilities

  • Participate in supplier training sessions and workshops.

  • Stay updated on product changes, supplier updates and travel trends.

  • Travel on educational and familiarisation trips when required.

  • Maintain high levels of communication and customer service.

Desired Experience & Qualification

Minimum Requirements

  • 2–5 years’ experience in a similar role within the travel or tourism industry.

  • Experience working with Tourplan.

  • Experience within a DMC (Destination Management Company) environment.

  • Strong itinerary building, costing and negotiation skills.

  • Excellent communication and organisational skills.

  • Ability to work in a fast-paced, detail-driven environment.
